TASKS AND RESPONSIBILITIES
- Reports to Finance & Operations Manager
- Assists Sales, Production, Operations, Billing & Collections
- Implement and oversee adherence to office policy and procedures as stated on the company Office Policy & Procedures Manual
- Maintain office services by controlling correspondence, reviewing and approving supply requisitions; assigning and monitoring clerical functions.
- Maintain a safe and secure working environment
- Ensure office cleanliness and scheduling of monthly office maintenance services (office and equipment cleaning, Pest Control, Trash Disposal etc.)
- Maintain office staff by recruiting, selecting, orienting, and training employees as deemed necessary by the President.
- Maintain office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results in conjunction with the department heads.
- Define procedures for retention, protection, retrieval, transfer and disposal of records.
- Design and implement filing systems and ensure they are maintained and current.
MEASUREMENT & CONTROL
- Ensure implementation of the Office Policy & Procedures Manual as well as individual job descriptions for each employee. Evaluate overall operations through measurement of results against standards and make the necessary adjustments to increase overall productivity.
- Prepare operational reports & implement procedural and policy changes to improve operational efficiency.
- Male or Female
- At least 5 years experience in Office Administration/Management including:
Human Resource, supervision of the accounting and admin staff, working
side by side with the head of Sales/Production to ensure back
office/support functions are being accomplished properly.
- Must have very good communication skills both written and oral. Must be
able to communicate with the Board.
- Most importantly, must command the respect of the admin/finance team in
particular and the rest of the other team members, in general. He/she
will be seen as the indispensable partner of the Sales and Production
